Job Purpose This individual will be responsible for overseeing and managing the design, development, implementation and execution of projects and initiatives to support new sites and existing facilities regionally. Scope includes initiatives and daily management of tasks related to construction, vendor relations, real-estate, Environmental Health and Safety, security plan, fleet, and equipment management at all Greenlane locations. This role is the owner of the Departmental Budget and responsible for development, approval and oversight throughout the year. Work with regional leadership to implement short and long-term solutions that deliver significant cost advantages while maintaining performance excellence. Duties & Responsibilities What you will do (Essential Functions) * Project and time management: Plan tasks and deliverables accurately, prioritize tasks and adapt as needed based upon changing priorities. Responsive to requests, accountable for actions * Problem-solving: Prevent and solve issues, understand and mitigate problems, recognize cause and effect relationships between functions * Cross-functional collaboration and communication to quickly understand and resolve issues * Developing Staff (increasing competence and engagement) * Customer focus: Understand and monitor the needs of internal and external customers Facilities Management Success: Execute and manage strategy to position Greenlane with world-class Facilities, Fleet management and EHS. Focusing to support growth by delivering projects and tasks on time and within budget, reducing recurring facilities management costs, manage fleet, contracts, and warehouse equipment efficiently regionally. * To direct and support assurance activities across the organization, enabling it to deliver its strategy and targets, and ensure compliance with OSHA, EPA, CDC, State and Federal guidelines where applicable and required * Oversee the EHS department and report to top management on the performance of the EHS system and any need for improvement. Create and maintain dashboarding of EHS metrics for corporate transparency and executive review * Manage facility budgets, including capital, maintenance, and repairs. Oversee annual forecasting as well as scoping of special projects. Make recommendations/manage implementation for service improvement opportunities across facilities and administrative service areas * Lead onshore and offshore teams to ensure projects are delivered. Plans, schedules and coordinates facility modifications, including cost estimates, resources, timelines and deliverables. * Responsible for the COVID response plan to ensure all guidelines are being met, maintained, and updated accordingly * Drive architectural, organizational, and process maturation that matches the growth of the business and supports the future-state vision. Develop scenarios for space optimization, layout, permits and facility expansion * Work closely with Department Leads to help fully understand and manage specific facility needs of each area * Develop and implement security policies, protocols, and procedures * Plan and coordinate security operations for specific events * Coordinate staff when responding to emergencies and alarms * Review reports on incidents, breaches and investigate to resolve issues * Analyze data to form proposals for improvements (e.g. implementation of new technology) * Oversee third party contracts and providers for services including security, parking, cleaning, and construction at all Greenlane locations. Negotiate new and existing contracts and prepare a detail RFP, summarize responses, and recommend contractors for various business needs * Manages day to day upkeep and construction/maintenance of properties and warehouse equipment owned/leased at all Greenlane locations * Manage equipment inventories, asset tracking procedures and permits at all locations * Act as liaison in managing the communication and working directly with landlords, tenants, contractors/vendors regarding overall maintenance, office lease, and other real estate issues. * Ability to deliver difficult messages to all levels within the organization * Responsible for the overall direction, coordination, motivation, and evaluation of direct reports. Supervisory responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Continuous Improvement * Address the root causes of issues, create corrective action plans and implement long term solutions * Identify and report any quality or compliance concerns and take immediate corrective action as required with internal and cross-functional teams * Develop, implement and maintain work instructions, standard operating procedures and service level agreements * Challenge the team to be Customer Centric, including developing strategies to enhance our customer service and our growth, focusing on deliveries that are on-time, in-full and defect-free to influence positive customer feedback results, responsiveness to internal and external customers Qualifications & Skills Required * Bachelor's Degree in Business or equivalent in LEED, Project Management, Architecture or Facilities Management work experience required * 8+ years of relevant work experience in facilities operations, office administration, EHS, and Fleet Management * Excellent written and oral communication skills with ability to effectively communicate well with all levels of the organization in English. Spanish is a plus * Commercial real estate experience * Strong interpersonal and leadership skills * Proven ability to drive cohesion and collaboration among many different people & functions * Confidence, presence, and credibility to command the respect of colleagues and senior stakeholders * Ability to document, plan, market, and execute programs * Adaptable / Flexible - being open to change in response to new information, different or unexpected circumstances must be eligible to work a flexible work schedule which includes evenings and weekends * Team value and how to successfully motivate and maintain employee involvement while driving change * Organizational skills, with ability to manage competing priorities and managing large projects * Strong Microsoft Excel, PowerPoint, Word, CAD, Bluebeam, Visio and MS-Project skills Physical Requirements * This position requires frequent sitting, standing, reaching, walking, and operating a computer workstation * Must have finger dexterity, ability to use keyboard/ten key * This position may rarely require kneeling, bending, squatting * Ability to push/pull up to 50 pounds * Reach, stoop and lift office files, records or reports, typically weighing 20 pounds or less * Ability to travel to various sites Other Duties Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
